Friends Helping at Home (FHAH) is an introductory care agency, matching self‑employed carers with clients. As demand for their services accelerated, the systems supporting day‑to‑day operations began to strain: information was duplicated across multiple tools, payment runs were taking longer each month, and an off‑the‑shelf rostering product was crashing and missing key information — leaving management inundated with questions.

Inflecto partnered with the FHAH team to design and build a platform that removed duplication, stabilised rostering, and created a strong foundation for growth across their franchise.

The challenge

FHAH needed a reliable, scalable way to manage core operational workflows:

  • A single source of truth for client and carer data
  • Faster, more reliable payment runs and invoicing
  • A rostering solution that wouldn’t crash and actually contained the information carers and managers needed
  • Better communication to reduce day‑to‑day queries and disruption
  • Easy access for branch managers across the franchise, on any device

What we delivered

Web-based CRM (single source of truth)

We developed a web-based CRM that centralised client and carer data and provided consistent access to key information for branch managers across the franchise, from any device.

The CRM included timesheet entry and integrated with Xero accounting software to streamline finance workflows and reduce manual processing.

Automated invoicing and notifications (Azure Functions)

To remove friction and speed up administration, we implemented automation using Azure Functions that spin up when needed to handle:

  • Automatically issuing invoices
  • Reversing invoices when required
  • Email notifications to keep processes moving

This event-driven approach supports scale while keeping the system efficient and cost-effective.

Bespoke rostering and chat (React + SignalR)

Building on the CRM foundation, we developed a bespoke rostering and chat system designed around FHAH’s real operational needs.

Using React and SignalR, we created a rich user interface that updates in real time with live changes — ensuring carers can always access the information they need, and that updates flow through to the admin systems to further streamline processes.

Platform foundations (API-first)

The system was built using an API-first approach, giving FHAH flexibility to expand into additional areas of the franchise over time without needing to rebuild core components.
